Bar Inventory & Food Cost Software: How to Pick One Your Team Will Actually Use
By the HospitalityStack editors · written from hotel & resort F&B experience
The real problem
Most inventory software fails because counts are painful, not because the reports are bad. A pool bar doing 400 covers on a Saturday has liquor, mixers, frozen drink base, fruit and disposables — counting it weekly must take under an hour or it won't happen.
What to look for
Fast counting (barcode, scale integration or partial-bottle estimation), invoice scanning so prices stay current, recipe costing for every cocktail spec, POS integration for theoretical vs. actual variance, and par levels by outlet.
Variance you should expect
Healthy beverage programs often target a pour cost in the high-teens to mid-20s percent range depending on mix and pricing; what matters is a consistent, explained variance week to week. Big swings usually mean over-pouring, comps not rung in, or unrecorded transfers between outlets (very common between pool bar and main bar).
