Hotel PMS for Small Properties (10–50 Rooms): What to Check Before You Buy

By the HospitalityStack editors · written from hotel & resort F&B experience

Why small properties choose differently

A 20-room boutique hotel rarely has an IT team. You need one system that the front desk learns in a day, that connects to booking channels, and that takes payments without a separate terminal contract you don't understand.

The checklist

Channel manager included or integrated: rates and availability must sync to OTAs automatically to avoid overbookings.

Booking engine: a commission-free direct booking engine on your own website.

Payments: embedded payments save reconciliation time; read the processing fees.

Pricing model: per room, per property or per booking? Ask for a written quote for your exact room count.

F&B and charge-to-room: if you have a bar or pool, confirm your POS can post charges to the guest folio.

Data export: make sure you can export guest and reservation data if you leave.

Cloudbeds

Cloudbeds markets an all-in-one PMS, channel manager and booking engine for independent properties. Its pricing page asks for property type and room count and gives a quote rather than a public price; it states that reservations made through its own booking engine are commission free. Mews

Mews is a cloud PMS with embedded payments. Its pricing page says pricing is per room, that the prices shown are indicative for a 10-room property, and that sales creates a custom quote. F&B and bookable services are add-ons. Mews listing.

Questions to ask on every demo

How long is onboarding and who does it? What is the contract length and notice period? Which POS systems post to the folio today (not on the roadmap)? What does support look like at 2 a.m. on a Saturday?
