Purchasing and AP Automation for Restaurants: MarginEdge vs Ottimate
By the HospitalityStack editors · written from hotel & resort F&B experience
What AP automation does
Restaurants get dozens of paper and PDF invoices a week. AP automation captures each one, codes it to your GL accounts, routes it for approval, syncs it to accounting and, in some tools, pays the vendor. Line-item capture also feeds food cost: when a supplier's price jumps, you see it.
MarginEdge: restaurant management with all-inclusive published pricing
MarginEdge publishes a flat price: $350 per location per month billed monthly, or 10% off billed annually. It says there are no add-on surprises. You can bundle its Freepour bar inventory for $150 per location per month more. It's built for restaurants, combining invoice processing with food costing, inventory and POS sales data. One note from its pricing page: Toast users need Toast's $50/mo per location Restaurant Management Suite to unlock API integration (checked Oct 2026).
Ottimate: AP automation and vendor payments, quote only
Ottimate focuses on accounts payable. Its site describes invoice capture that reads header, footer and line-item detail (including handwritten invoices) with a stated 98% accuracy, approval workflows, flagging of cost discrepancies between POs, receipts and cost files, invoice risk scoring, and paying vendors from one platform. It publishes no price list and routes buyers to a demo, so treat it as quote-only (checked Oct 2026).
Which fits
Independent restaurant or small group that wants food cost, inventory and invoices in one restaurant-specific tool with a known price: start with MarginEdge. Multi-unit operator or hospitality group with a finance team that wants approval workflows and vendor payments run centrally: get an Ottimate quote. Either way, check that it integrates with your accounting system (QuickBooks, Xero, Sage or others) and your POS before you sign.
Questions to ask in the demo
Ask how fast invoices post after you snap them, who fixes capture errors and how fast, whether line-item detail is included or extra, how credits and short deliveries are handled, what payment methods vendors get paid by, and contract length. Compare with our restaurant inventory software comparison, and see all inventory and costing tools.
